APEX Shuttle respects your privacy and recognises the importance of protecting personal information.

This policy explains how APEX collects, uses, stores, shares and protects personal information through the website, customer mobile application, booking and reservation systems, transport operations and communication channels.

APEX processes personal information with regard to the Protection of Personal Information Act 4 of 2013 (POPIA) and other applicable South African laws.

1. Who We Are

For this policy, “APEX Shuttle”, “APEX”, “we”, “us” and “our” refer to APEX Shuttle, a private transport and shuttle service provider operating from South Africa.

2. Scope of This Privacy Policy

This policy applies to APEX-controlled services, including our public website, customer application, customer accounts, quotes, bookings, reservations, airport and hotel transfers, point-to-point transport, chauffeur services, customer support, authorised staff systems and driver operations.

3. Personal Information We May Collect

Depending on the service, we may collect your name, surname, cellphone number, email address, pickup and destination addresses, passenger count, luggage requirements, booking dates and times, flight details, special requests, booking references, account information, payment status, messages, device information, IP address, browser or app information and security logs.

We seek to collect only information reasonably required to provide, administer, secure and improve the service.

4. Booking and Journey Information

When you request a quote, make a booking or create a future reservation, we process information needed to price, schedule, dispatch and perform the journey. Booking records may remain linked to your account or booking reference for customer service, accounting, safety, security and recordkeeping purposes.

5. Location, Mapping and Routing Data

APEX may process location information to identify pickup and drop-off points, calculate routes, estimate distance and travel time, support pricing and improve pickup accuracy.

Latitude and longitude coordinates may be stored and processed internally for maps, routing, ETA, pricing and tracking. Customer and staff interfaces are intended to show normal readable addresses and place names rather than raw coordinates.

If you allow the mobile application to use device location, that permission may be used to suggest your current pickup area, improve place search or support journey-related functionality.

6. Airport and Flight Information

For airport transfers, APEX may process airport names, terminal information, airline or flight numbers and scheduled arrival or departure details where supplied by you or obtained through a permitted flight-information service. This information supports pickup planning and timing.

7. Customer Accounts and Verification

Where you create an account, APEX may process login details, verification records, authentication tokens, password-reset information and account-security events. Passwords should be stored using secure one-way hashing rather than in readable form.

8. Payment Information

Where electronic payment is offered, payment may be processed through an external provider. APEX may receive transaction references, amount, currency and payment status. APEX does not intend to store full payment-card details where those details are handled directly by the payment provider.

9. Communications

APEX may use your contact information for booking confirmations, reservation reminders, driver or pickup information, payment notices, service updates, security messages and customer support. Communications may be sent by email, SMS, telephone, push notification or WhatsApp.

10. Website and Application Information

Technical information may be generated automatically when you use an APEX website or application, including IP address, browser, operating system, device type, app version, access times, error information and security logs. This may be used for security, troubleshooting, performance monitoring and fraud prevention.

11. Why APEX Processes Personal Information

APEX may process personal information to provide quotes, accept and manage bookings, perform transport services, schedule vehicles and drivers, support customers, administer accounts and payments, calculate routes and ETA, enable journey tracking, maintain safety and security, prevent fraud, keep business records, comply with legal obligations and improve services.

12. Operators and Service Providers

APEX may use third-party providers for hosting, maps and geocoding, payment processing, flight information, email, SMS, WhatsApp, push notifications, analytics, backups and related technology. Providers should receive only information reasonably necessary for the service they perform.

Some providers may process information outside South Africa. Where cross-border processing occurs, APEX will seek to comply with applicable legal requirements.

13. Drivers, Dispatchers and Operational Staff

Authorised APEX personnel and assigned drivers may receive limited customer and journey information needed to perform a trip safely and efficiently, including passenger name, contact information, pickup, destination, scheduled time, flight details and relevant instructions.

14. Security, Breaches and Retention

APEX takes reasonable technical and organisational measures to protect personal information against loss, unauthorised access, alteration, disclosure, destruction and misuse. Measures may include access controls, authentication, secure configurations, logging, backups, encryption where appropriate and restricted staff access.

If a security compromise involving personal information occurs, APEX will assess, contain and investigate it and make notifications where required by law.

Information may be retained for as long as reasonably necessary for bookings, reservations, accounts, financial records, legal obligations, safety, security, disputes, audit requirements and legitimate recordkeeping, after which it may be deleted, destroyed, de-identified or archived as appropriate.

15. Access, Correction, Deletion and Objection

Subject to applicable law, you may request access to qualifying personal information, request correction of inaccurate information, or request deletion or object to certain processing where the law gives you that right. APEX may require proof of identity and may retain information where legally or operationally required.

16. Direct Marketing, Cookies and Similar Technologies

Where APEX sends non-essential promotional communications, it will seek to provide appropriate opt-out choices where required. Operational messages such as booking confirmations, security notices and journey updates may still be sent where necessary to provide the service.

The website may use cookies or similar technologies needed for login sessions, security, booking functionality, preferences and site operation.

17. Children and Minors

Where a booking involves a child or minor, information should be supplied by a person with appropriate authority. APEX will seek to handle children's personal information with appropriate care and in accordance with applicable law.

18. Complaints

If you have a privacy concern, please contact APEX so the matter can be investigated. You may also have the right to lodge a complaint with the Information Regulator of South Africa in accordance with applicable law.

19. Changes to This Privacy Policy

APEX may update this policy to reflect changes in law, technology, transport services, business practices or security requirements. The updated version will be published on this page with a revised “Last Updated” date.
